Project HOPE is looking to fill the position of Conference Services Coordinator. This position is responsible for all aspects and activities involved in external meetings and events held at The Carter Hall Conference Center (TCHCC) - from booking through the conference/event onsite dates. Oversees the coordination of internal meetings, activities, and events at HOPE headquarters and TCHCC. Assist the Senior Manager of Facilities and Conference Services administratively with budget data and report compilation. Publicly and professionally represents Project HOPE and TCHCC at conference events to ensure client satisfaction and effective hospitality operations.
Other responsibilities include...
1. Works directly with external meeting planners to coordinate all event aspects including special requests.
2. Acts as onsite coordinator during external conferences/meetings, liaising with the manager and meeting planner, catering staff, housekeeping staff and conference technician to ensure event set-up and details meets the client expectation.
3. Assists in conducting campus tours for potential clients, new hires and HOPE guests, as necessary.
4. Oversees internal affair accommodations including but not limited to: lodging requests, beverage service, meal service, special meeting set ups, and internal events; serves as a back-up on requests as needed.
5. Brainstorms and implements ideas for the marketing campaign, promotion, and sales of The Carter Hall Conference Center to increase use of conference facilities in accordance with goals established with manager.
6. Creates and promotes TCHCC online presence via social media and TCHCC website.
7. Identifies, develops network, build affiliations and actively solicit organizations to increase new business sales and retain business events for The Carter Hall Conference Center (TCHCC).
8. Organizes and maintains database of actual and prospective Conference Center clients.
9. Provide administrative support to manager, as needed.
Position Requirements...
College degree and/or Meetings/Events Certification preferred
2+ years' experience in administration, business and/or event coordination
Excellent organizational and administrative skills, ability to manage multiple tasks of high priority, in professional, confidential, and efficient manner
Excellent communication skills, including writing, proof reading skills, and speaking
Good interpersonal skills for team work and guest interaction
Ability to problem solve, adapt to various work environments and change direction quickly
Prior social media and online marketing experience with proven results
Superior customer service and high expectation for quality
Ability to work flexible hours as needed; i.e., early morning to late night and/or weekends; to assist in hosting duties for all conference guests
Proficient in MS Office
The Carter Hall Conference Center is owned and operated by Project HOPE, a non-profit organization that provides health education and humanitarian assistance programs to developing countries around the globe. Revenue from TCHCC is funneled into supporting HOPE missions worldwide.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
